Use organization defaults and shop overrides

An organization can supply shared settings to its shops. A shop can follow those values, keep its own copy when overrides are allowed, or be locked to the organization values.

Understand the three control modes​

Read the settings badge​

BadgeWhat it means

Organization controlledThe shop can view the group but must change it from the organization
Shop ownedThe setting belongs to the shop and does not inherit

Change an organization default​

  1. Use the shop switcher to open the organization.
  2. Open Configurations and the settings group you need.
  3. Confirm the organization is allowed to manage that group.
  4. Make and save the change.
  5. Review at least one inheriting shop and one overridden shop when the organization has both.

An organization change reaches shops that are still inheriting. It does not replace a shop override.

Create a shop override​

  1. Open the shop that needs different values.
  2. Open the settings group and confirm the organization allows an override.
  3. Review the full set of inherited values.
  4. Make and save the shop-specific change.
  5. Confirm the badge changes to Overridden or Shop override.

An override applies to the complete settings group, not only the row you changed. Later organization edits to that group will not reach the shop.

Return to the organization default​

  1. Open the overridden settings group at the shop.
  2. Record any shop-specific values that may still be needed.
  3. Select Reset to organization default when the control is available.
  4. Confirm the shop now shows the organization values and an inherited badge.

Resetting discards the shop's customized copy. Some groups do not currently provide a reset control; email hi@bayengine.com when one must be returned to the organization default.

Know what remains shop-specific​

  • Shop identity, address, timezone, and locale
  • Tax configurations
  • Document number sequences
  • Inventory locations and stock
  • Other settings explicitly marked Shop owned

Keep user access separate​

Settings inheritance controls configuration values. Organization-wide roles and permissions control what a person can do across shops. Use Manage organization-wide access when the question is about a user's access instead of a shop setting.
